The challenges of dematerialization for companies

To dematerialize or not to dematerialize? For some, it's a fad, an obligation rather than a necessity. For others, dematerialization is an advantage, an opportunity. But why should we dematerialize at all? What are the challenges of dematerialization for a company?

What is dematerialization?

Today, dematerialization encompasses many fields, not just digitization. Dematerialization involves transforming physical documents into digital files, or creating these documents directly in digital form. It can also involve any action involving the digitization of files. This can include :

  • Document dematerialization (digitization)
  • The dematerialization of exchanges
  • Dematerialization of activities and processes: electronic document management (EDM....)

We use the term "native dematerialization" to describe information, exchanges and processes created directly on a digital medium.

Which documents can be dematerialized?

Mail, bank statements, purchase orders, delivery notes, invoices, pay slips, contracts, social security and tax declarations... Any document can be dematerialized.

However, some documents, such as commercial and administrative documents (contracts, invoices), require secure, legal dematerialization.

The benefits of dematerialization :

The advantages of dematerialization for companies are numerous:

  • Save space

Dematerialization makes archiving easier: less paper, fewer filing cabinets, more space!

  • Save time

Searching for a document takes an average of 15 minutes of your working time. A digitized document, properly filed in the back office, is much easier to find!
By dematerializing, you optimize your working time!

  • Save money

A study carried out by BVA on 410 companies reveals that sending out a paper contract costs an average of €9 to €15. These costs represent the printing of documents (type of printer, ink, paper), the envelopes chosen, postage costs, and in addition the time spent on a contract that could very well be automated.
Dematerialization reduces and may even eliminate the number of copies in circulation. It reduces printing and transmission costs. A dematerialized invoice costs 2 to 3 times less than a physical one!

  • Facilitating relationship management

Dematerialization facilitates document sharing and opens the door to collaborative working. It makes it possible to set up online sharing platforms, enabling you to work faster and more efficiently.
Dematerialization not only streamlines internal relations between employees, but also external relations between banks, suppliers and customers.
This makes you more responsive, which can be a competitive advantage!

  • Protecting the environment

By saving paper, reducing printing and therefore ink consumption, and reducing physical shipments and therefore transport, dematerialization contributes to environmental protection.

In addition to the benefits mentioned below, dematerialization also makes it possible to centralize and secure data. As a result, information management is faster, more efficient and more secure.
